Officer, Board Member, and Executive Director Responsibilities

President:
· Serve as the primary leader and spokesperson for TSHA
· Attend all board meetings and annual conference
· Speak on behalf of TSHA and network with other organizations
· Provide training opportunities for president-elect and vice president
· Develop agendas and facilitate all Board meetings
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Write articles for The Brief as needed
· Serve on the annual conference planning subcommittee
· Serve as or appoint a liaison with ASHA and other organizations
· Carry out all duties as provided in Constitution and By-Laws
· Communicate in a timely manner regarding Association business

President-Elect:
· Attend all board meetings and annual conference
· Assume Presidency as provided in Constitution and By-Laws
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Write articles for The Brief as needed
· Serve on the annual conference planning subcommittee
· Communicate in a timely manner regarding Association business
· Serve as conference coordinator (Be responsible for all aspects of organizing annual conference which includes):
o selecting theme and topics
o securing speakers
o determine schedule for conference
o provide executive director with conference information
o recruit officers, board members, and volunteers as subcommittee chairs and monitor progress
o serve as emcee/speaker
o collaborate with designated conference hotel negotiator
o collaborate with other officers

Vice President:
· Attend all board meetings and annual conference
· Assume office of President-elect as provided in Constitution and By-Laws
· Write articles for The Brief as needed
· Serve as the conference awards chair
· Solicit nominations for Board of Directors and Officers
· Organize conference awards dinner including entertainment
· Obtain the conference award plaques
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Serve on the annual conference planning subcommittee
· Communicate in a timely manner regarding Association business

Past President:
· Attend all board meetings and annual conference
· Serve as consultant to the Officers and Board of Directors
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Write articles for The Brief as needed
· Serve on the annual conference planning subcommittee
· Communicate in a timely manner regarding Association business

Secretary:
· Attend all board meetings and annual conference
· Attend all board meetings, record and distribute minutes
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Write articles for The Brief as needed
· Serve on the annual conference planning subcommittee
· Communicate in a timely manner regarding Association business

Treasurer:
· Attend all board meetings and annual conference
· Maintain financial accounts
· Write checks and make deposits
· Maintain financial records & prepare financial reports to the Officers, Board of Directors, and membership
· Prepare a special financial statement for the annual conference
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Write articles for The Brief as needed
· Serve on the annual conference planning subcommittee
· Communicate in a timely manner regarding Association business

Board of Directors Members:
· Attend all board meetings and annual conference
· Promote TSHA and actively recruit members
· Provide recruitment ideas/plans and data sources for membership opportunities
· Write articles for The Brief as needed
· Serve on the annual conference planning subcommittee
· Communicate in a timely manner regarding Association business

Executive Director Responsibilities (Not an elected position)

Membership:
· Maintain membership database
· Publish membership directory
· Update and print membership marketing brochure
· Mail membership brochures as requested
· Send dues renewal notices three times annually
· Send receipts and thank you letters to new members
· Prepare and mail information packets to potential members
· Print and send labels to board and officers as requested
· Conduct member recruitment mailings as directed by the board

Financial:
· Inform officers and board regarding financial matters of the Association
· Send all receipts, invoices and thank you letters
· Coordinate expenditures with Treasurer

Newsletter:
· Publish The Brief 3 times annually
· Notify members, authors, and advertisers of deadlines and criteria for articles
· Gather articles from members and authors
· Format, print and mail publication to members

Communications:
· Maintain phone and fax at TSHA home office
· Respond to requests for information

Supplies:
· Purchase supplies as needed
· Maintain a supply of stationery
· Provide stationery to board and officers as requested
· Maintain inventory of equipment and supplies

Records:
· Maintain archival materials
· Maintain files and membership rolls
· Maintain constitution and by laws documents
· Maintain continuing education units (CEU) document files
· Maintain documents related to TSHA administration

Annual Conference:
· Respond to conference inquiries
· Route conference requests for information to appropriate conference committee member
· Maintain conference database of participants (i.e. speakers, exhibitors, sponsors, etc.)
· Manage conference registrations, receipts and invoices
· Provide administrative support to conference chair and all subcommittees

Policies

Membership: Members who join after August 1 will receive membership for the current and following year.

Board Expenses: Board members may have their travel paid for to the annual conference.*

Officer Expenses: Officers may have their travel paid to the annual conference and
also have their lodging reimbursed.*

Summer Board Mtg. Officer and board members may have their travel reimbursed to the summer board meeting.*

Mileage Costs: Mileage will be reimbursed at the IRS rates.

Speaker Expenses: Non-member presenters at the annual conference may have travel, meals, and hotel expenses reimbursed in full. In addition, non-member presenters will be provided with a complimentary conference registration. Presenters who are members will not be reimbursed for any conference related expenses.

* Officers and board members are encouraged to secure funding outside of TSHA. Decisions regarding reimbursement of expenses will be determined by a vote of the officers and board members based on the financial solvency of the Association.
